Coming soon. Add a Test Candidates assessment to a job's interview plan in Ashby, start it for a candidate, and see the status and result on their application.

Coming soon. The Ashby connection cannot be made yet, so this article describes how it will work once it opens. Until then you can link Test Candidates to Ashby through Zapier or Make, the API or webhooks.

With the Ashby integration you add a Test Candidates assessment to a job's interview plan in Ashby. When a candidate reaches that stage and you start the assessment, the candidate gets the usual Test Candidates invitation, and the status and result come back onto their application in Ashby. You choose the assessment inside Ashby, so there is nothing to map between the two systems.

Connect

The connection uses two keys, one in each direction: an Ashby API key, so Test Candidates can send results to Ashby, and a Test Candidates key, so Ashby can list your assessments and send candidates to them.

  1. In Ashby, go to Admin, then Integrations, then Marketplace, find Test Candidates and open its tile. Turn the integration on. Ashby creates an API key for Test Candidates with the permissions it needs. Copy that key. You do not need to create a key yourself in Ashby's API key settings.
  2. In Test Candidates, go to Settings, then Integrations, find Ashby and click Connect. Paste the Ashby key into Ashby API key and confirm.
  3. Test Candidates shows you a Test Candidates key. Copy it. It is shown once; if you lose it, click Connect again for a new one.
  4. Back on the Test Candidates tile in Ashby, enter the Test Candidates key where Ashby asks for it, and save.

Only admins can connect, in both systems. Both keys let one system act on the other, so treat them like passwords.

Add an assessment to an interview plan

  1. In Ashby, open the job and its interview plan.
  2. Add an assessment to the stage you want and choose Test Candidates.
  3. Choose the assessment. The list is your open assessments in Test Candidates; closed assessments and ones past their deadline are not shown.

Use one assessment per role, so the candidates in Test Candidates line up with the job in Ashby.

Start an assessment

When a candidate reaches the stage, start the assessment from their application in Ashby. Test Candidates sends the invitation straight away and the assessment in Ashby shows Invited.

The candidate needs an email address in Ashby. Without one, Ashby shows a message saying so and nobody is invited. Starting the same assessment again for the same application does not send a second invitation.

What the candidate gets

The candidate receives the same invitation email Test Candidates always sends, with their link to start. If the candidate was already invited to that assessment, they are not invited again, and the assessment in Ashby still fills in when they finish.

What comes back, and when

When the candidate finishes every test on the assessment, the assessment in Ashby shows as complete, with:

  • the status Scored;
  • the overall score, with each test's score listed underneath;
  • a link to the full report in Test Candidates.

Results normally arrive within a few minutes of the candidate finishing.

Locked results

Scores only come through once the result is unlocked, the same as everywhere else in Test Candidates. If the candidate finishes while the result is still locked, the assessment in Ashby shows Completed, result locked with no score, and a line saying the result is locked. Unlock it in Test Candidates and the scores appear in Ashby shortly after. Nothing you see in Ashby is ever a score from a locked result.

Cancel an assessment

You can cancel the assessment in Ashby at any time, and it shows as Cancelled in Ashby.

  • If the candidate has not started, their invitation is withdrawn, so the link stops working and no reminders are sent.
  • If the candidate has already started, they can still finish in Test Candidates and their results stay there, but nothing more is sent to Ashby.

Cancelling only stops the invitation and the updates to Ashby. Nothing else changes in Test Candidates. An assessment cancelled for an application cannot be started again for that application; choose another assessment, or email us.

Disconnect

In Test Candidates, go to Settings, then Integrations, Ashby, and click Disconnect. The Test Candidates key stops working at once: Ashby can no longer list your assessments or start them, and no further results are written to Ashby. Candidates already invited can still finish, and their results stay in Test Candidates.

To remove the integration from the Ashby side as well, turn it off on the Test Candidates tile in Ashby's Integrations Marketplace.

If something goes wrong

  • Ashby says the Test Candidates key was not recognised. Click Connect in Test Candidates for a fresh key and enter it on the tile in Ashby again. A key stops working when you disconnect, or when you click Connect again for a new one.
  • Test Candidates says Ashby needs to be connected again. The Ashby key was turned off or replaced. Copy the key from the Test Candidates tile in Ashby and connect again.
  • The assessment is not in the list. It is closed, past its deadline, or in a different Test Candidates workspace from the one that issued the key.
  • The result has not appeared. Check that the candidate has finished every test on the assessment, and whether the result is still locked.
